Custom Fields
Capture what ClientTether doesn’t collect by default, per contact type, and use it everywhere — profiles, lists, filters, exports, tokens and forms.

1What custom fields are
A custom field is a piece of information ClientTether doesn’t collect out of the box — roof size, membership number, preferred technician, anything your business needs on a contact. Once defined, a custom field behaves like a built-in one: it appears on the Contact Profile, can be shown as a column and filtered in the Contacts List, exported, used in webhooks, filled by web forms and email parsers, and merged into messages with a token.
2Where they’re defined
Settings → Custom Fields is organised in tabs. There’s one tab per contact type (Clients, Employees, Partners, Vendors, Other, plus any custom types), so a field defined under Clients only appears on client contacts. Two more tabs define fields for other records: Accounts (fields on the account itself) and Users (fields on each login, filled in on the user’s edit form).
A field can also be created straight from a contact: open the Contact Info panel on any profile and add it there. That adds the field to that contact only — to roll it out everywhere, use Apply Custom Field to All Contacts Now on the field in Settings.
Applying to all contacts takes time
The roll-out runs in the background, contact by contact. On a large account it can take a while and it competes with other activity, so don’t expect the field to be on every record instantly.
3Field types
| Type | Use it for |
|---|---|
| Text / Text Area | A single line, or several lines of free text. |
| Number, Number with decimal, Number with range | Numeric values; the range variant enforces a minimum and maximum. |
| Currency / USD | Money amounts, formatted as such. |
| Date | A date picker. |
| Phone / URL | Validated phone numbers and links. |
| Boolean | A yes/no switch. |
| Checkboxes / Radio | Pick several, or pick one, from options you define with Add Option. |
| File | An uploaded attachment, image or document. |
| Calculated | A value computed from other fields. |
Each field also has a Default Value, and a Visible / Hidden toggle. Hidden fields keep their data but stay off the profile — handy for values that integrations fill in and people shouldn’t edit.
4Where the values show up
- Contact Profile — in the Contact Info panel, grouped under the contact type’s fields.
- Contacts List — as optional columns (Page Settings) and in the Advanced Filter’s field conditions.
- Export and Import — custom fields are part of the template and of the export field list.
- Templates and messages — through the
{{tokens.Field_Name}}token, so an email or text can say “your roof is 2,400 sq ft”. - Web forms and parsers — lead forms and email parsers can write straight into a custom field.
- Webhooks — custom-field values are included in the contact payload.
5In an Enterprise structure
An Enterprise account can lock custom fields, so every sub-account shares the same field structure and reporting lines up. When locked, sub-accounts can fill fields in but can’t add or change them; the Add Item control disappears from their Settings tab.
6Troubleshooting
The field is on one contact but not the others
It was created from a profile. Open Settings → Custom Fields and use Apply Custom Field to All Contacts Now.
The field doesn’t appear on a contact
Check the contact’s type — fields are per type — and check the field isn’t set to Hidden.
I can’t add a field
Your Enterprise has locked custom fields, or you’re signed in as a Salesperson. Ask an Admin or the Enterprise owner.
