History Notes

The complete timeline for a contact — calls, texts, emails, notes and changes — with filters that stick and an archive beyond the last 100 entries.

1What History Notes are

The History tab of a contact’s profile is the complete, time-stamped record of everything that has happened with that contact: calls, texts, emails, notes, appointments, plan changes, contact-info edits, webhook results. It’s the first place to look before you pick up the phone, and the record you’d point to if anyone asks what was said and when.

2What gets stored

EntryWhat it records
Phone callsWhen the call happened, how it was placed, by whom, and the recording when call recording is on.
Text messagesWhen, by whom, and the message. If the contact is excluded from texting, that’s noted too.
EmailsThe message, who it went to (including CC and BCC), who sent it, and how many times the contact opened it.
Notes and logged callsWhat was written, by which user, with the reason and disposition codes attached — see Log-a-Call & Log Codes.
ChangesContact information edits, assignment changes, action-plan changes, sales-cycle moves.

3Filtering and searching

Two controls sit above the list:

  • Choose Types — show only the kinds of entry you care about (notes, contact-info changes, assignments, and so on). This filter is per user: set it once and it follows you to every contact you open until you change it.
  • Search note — finds entries by title, within the contact you’re looking at. It doesn’t search the body text.

Without a filter, entries appear newest first; the sort can be flipped from the three-dot menu beside the tab title.

4Beyond the most recent entries

The History tab shows the latest 100 records. For everything before that, click View More History at the bottom right — it opens the full archive for the contact in a new browser tab.

5What you can do from an entry

  • Reply Email — answer an email from the history, with the original quoted underneath.
  • Move to Opportunity — file the entry under the right deal when a contact has several.
  • Reassign Note — attribute the entry to a different user.
  • Generate Transcript — for call recordings, where transcription is enabled; a Sentiment reading may be shown alongside.

6Troubleshooting

An entry I saw yesterday is gone

Your type filter is still applied from another contact — it’s per user and persists. Clear it, or use View More History if it fell past 100 records.

Search doesn’t find a phrase I remember

Only titles are searchable. Filter by type and scan instead.
