1Where a quote is actually built
The Worksheet tab is the estimator’s working surface. The Quote tab is what the customer sees; the worksheet is where the numbers come from. Nothing on the quote can be changed that wasn’t built here.
2Building the quote
- Select Bid Type, then Choose Category and Choose Line Item. The line item’s fields appear, with the defaults you configured.
- Use Add New Bid Row to add another row of the same item — four rooms at different sizes, say — and Duplicate to copy a row you’ve already filled in.
- Select Templates pulls a prepared set of items onto the sheet in one step. See Templates & Constants.
- Drag rows and sections to reorder them; the quote follows the worksheet’s order.
- Include and Itemize control whether a row is part of the total and whether it’s shown as its own line on the quote or folded into a subtotal.
- Room Measurement appears for bid types that have it enabled, for measurement-driven work.
- Constants List shows the values your formulas are using, so you can see why a number came out the way it did.
3Notes and attachments
Two note fields run alongside the numbers: Quote Notes and Work Order Notes, with Append into Quote Notes and Append into Work Order Notes so a line item can contribute its own text automatically — customer-facing wording on the quote, practical instructions on the work order. There’s also a general comments field and per-line-item attachments.
4Recalculating
ReCalculate Quote re-runs every formula on the sheet. Use it after changing quantities in bulk, after a constant has changed, or any time the totals look stale.
Check the total before you send
A row left un-included, or a field left at its default, changes the price without looking wrong. Recalculate, then read the Quote tab as the customer would, before it goes out.
5Troubleshooting
A line item isn’t in the dropdown
It belongs to a different bid type or category, it’s hidden, it’s archived, or it belongs to a different year.
The quote shows more detail than I want the customer to see
Turn off Itemize on those rows, or hide the fields on the line item itself.
