1Filtering, properly

Search finds a contact. Advanced Filters finds a group — everyone in one state with no appointment set, every lead from a campaign that hasn’t been contacted, every customer whose last job was over a year ago. Once you have the group you can email it, text it, change it in bulk or export it.

The funnel icon opens it on the Contacts List, the Pipeline and the Unified Message Center. When a filter is active the icon turns solid — worth noticing before you conclude that records are missing.

2The quick pickers

The top of the window covers what people filter by most: Sales Cycle (grouped by contact type, plus New Lead), Action Plan (grouped by Connection, Conversion, Retention, Event, Seasonal and Parallel plans), Lead Source, Assigned User (including Unassigned), State, Tags, Rank, and in an Enterprise, Accounts and Previous Accounts.

3Field conditions

Below that, build conditions on any field: names, phones, email, address, company, job title, deal size, likelihood, close date, contact dates, social links, UTM parameters, demographics, and every custom field. Each condition is a field, a matching option and a value:

Matching optionFinds
Exactly =An exact match.
>, >=, <, <=Numeric and date comparisons.
Similar to %…% / Not Have %…%Contains, or doesn’t contain.
IN(…) / NOT IN(…)One of a comma-separated list, or none of it.
BETWEEN / NOT BETWEENInside or outside a range.
IS EMPTY / IS NOT EMPTYMissing or present — the fastest way to find records to clean up.

Add rows with Add More and join them with And or Or. Date fields drop the text-matching options, since they don’t apply.

4Saved filters

Name a filter and save it, and it’s there next time from Saved Filters — update it, or delete it. Every user type can save their own, including Salespeople. This is what turns a clever one-off query into a list the team works every Monday.

Build the call list once

“New leads, unassigned, created this week, no appointment set” is a filter you’ll want every morning. Save it, name it for the team, and nobody has to rebuild it.

5Clearing filters

The circular-arrow icon clears all filters, sorts and search at once. Use it before you believe a contact has disappeared.
