Tags

Free-form labels on contacts that filters, triggers, action plans and imports all understand — and how to keep the vocabulary under control.

1What tags are for

A tag is a label you can put on any contact — “VIP”, “Spring promo”, “Referred by partner”, “Do not call”. Contacts can carry any number of them. Tags are the flexible layer on top of the structured fields: where a sales cycle says where a contact is and a lead source says where they came from, a tag says whatever you need it to say.

What makes them useful is that the rest of ClientTether reads them:

  • Filters — the Contacts List, Pipeline and Message Center all filter by tag.
  • Triggers — a trigger can fire when a contact’s tags are IN or NOT IN a list, so tagging a contact can start an action plan, an email or a text. See Triggers.
  • Action plan steps — a step can add or remove tags as the plan runs, so a plan can mark its own progress.
  • Bulk actions and imports — Change on the Contacts List sets tags on many contacts at once, and the import template has a tag column (comma-separated; new tags are created as needed).
  • Webhooks and filters in the API — tag conditions are available wherever contact conditions are.

2Managing tags

Settings → Tags lists every tag on the account with a count of Clients with Tag — click it to see them. From the list you can:

ActionWhat it does
Add TagType a name and save. Tags can also be created on the fly from a contact profile.
Edit TagRename it; every contact carrying it updates.
Duplicate TagEnterprise accounts: push a copy of the tag to selected sub-accounts (or all of them), so the whole network uses the same vocabulary.
Delete TagRemoves the tag from the account and from every contact that had it.

Decide the vocabulary once

“VIP”, “vip” and “V.I.P.” are three tags. Agree the names up front, create them in Settings, and let people pick from the list rather than typing new ones. In an Enterprise, lock tags so the list is controlled centrally.

3In an Enterprise structure

An Enterprise account can lock tags for its sub-accounts. Locked sub-accounts can apply the existing tags but can’t add, rename or delete them; new tags come from the top, via Duplicate Tag. See Account Types in ClientTether.

4Troubleshooting

A trigger on a tag isn’t firing

Check the trigger’s operator (IN vs NOT IN) and that the tag on the contact is the exact one the trigger names — a near-duplicate tag won’t match.

I can’t add or delete a tag

Tags are locked by your Enterprise, or you’re signed in as a user type without access to the Tags tab.
