Book appointments, schedule calls and set reminders from a contact — with invites, notes control and plans that keep everyone reminded.

1The Event tab

The Event tab on a contact profile schedules three kinds of thing, all of which appear in Upcoming Actions on the profile:

2Booking an appointment

  • Choose Next Appointment as the event type.
  • Optionally start a manual Event Plan at the same time, so reminders around the appointment go out automatically.
  • Tick Add Notification to be told when the event is due.
  • Set the start and end date and time — check you clicked the right day on the calendar.
  • Pick who it’s assigned to; that’s whose calendar it lands on.
  • Add notes — every invitee can see them, so keep internal remarks out. Separate switches control whether notes go to the assignee and to invitees.
  • Invite people by email with Send Email Invite, choosing an appointment-invite template; you can preview the body first. The contact is not invited automatically — add their address if you want them to get it.

Edits follow the contact

If a contact has a pending appointment and you then change their name, address, phone or email, the appointment updates itself with the new details. You don’t have to rebuild it.

3Changing or cancelling

Appointments move. Edit the event and ClientTether updates the reminders attached to its manual Event Plan with it. Whether users can edit or cancel events created through the meeting scheduler is controlled in Settings → Contact Profile.

4Letting contacts book themselves

Instead of booking for them, send a scheduling link: a New Meeting Schedule hosted page offers your available days and times, respects appointment length, advance notice and wrap-up time, and writes the booking onto the chosen user’s calendar. See Hosted Pages.

5Troubleshooting

The contact didn’t get the invite

The contact isn’t invited automatically — their email has to be in the invite field.

The appointment isn’t on my calendar

It’s assigned to another user. Check the assignee on the event.

The invitee sees notes I meant to keep internal

Turn off Include Notes to Invitees for that event, and set the default in Settings → Contact Profile.
