Opportunities

Track several deals against one contact — each with its own address, owner, sales cycle, plan and proposals — without duplicating the person.

1One contact, several deals

A contact isn’t always a single deal. The same homeowner may want two properties quoted; the same business may buy three services a year. Opportunities let one contact carry several deals at once, each with its own address, assigned user, sales cycle, lead source, action plan, deal size, close date and proposals — while the person stays one record.

Every contact has at least one opportunity, the primary one. Extra opportunities are created underneath it.

2Creating an opportunity

  • Open the contact’s profile and use Add Opportunity under the Opportunity heading.
  • Pick an Opportunity Template from the dropdown, or start from scratch. Templates come from Settings → Opportunity and carry a name, the usual odds of closing, a typical deal size and whether an appointment is normally already set.
  • The new opportunity copies the contact’s details, so you can change the address for this deal without touching the others.
  • Everything is editable afterwards — a template is a starting point, not a rule.

3The opportunity matrix

The profile lists every opportunity with the fields that drive reporting:

Primary OppWhich opportunity the contact defaults to. Click to mark as Primary changes it.

All users can read the matrix; only Admin users and account owners can edit it.

4Proposals and opportunities

A proposal belongs to an opportunity. Select the opportunity first, then Add New Proposal — the proposal attaches to it, and the opportunity’s numbers follow the proposal. An opportunity can carry several proposals (a full quote and a partial one, say); tick-boxes on each proposal control whether its dollars count toward the opportunity’s milestones, so charts don’t double-count. Set Active Proposal chooses the one that drives the opportunity.

Where lists show opportunities

The scope selector on the Contacts List decides what you see: Main Contacts shows one row per person, Active Opportunities and All Opportunities show the deals. If a deal seems missing from a list, check that selector before anything else.

5Combining and separating

From the Contacts List, Combined turns several separate contacts into opportunities under one primary contact, and Separate splits opportunities back into standalone contacts. Both need at least two rows selected.

6Troubleshooting

I can’t edit the opportunity fields

Only Admin users and account owners can edit the matrix.

The Dashboard total looks doubled

Two proposals on one opportunity are both counting toward the same milestone. Untick one.

A new opportunity has the wrong address

It copied the contact’s details when created. Edit the address on the opportunity itself — it won’t affect the others.
