Overview

Assigned User allows ClientTether to know which of your Account Users are working with a contact.

This makes it possible for ClientTether to direct emails, text messages, and calls to the Assigned User.

Setting Assigned User To Contact

Overview

There are three ways to assign an Account User to a Contact.

  1. Contact Profile
  2. Action Plans
  3. Sales Cycle

Assigning User by Contact Profile

In the top left corner of the Contact Profile there is a drop down menu for Assigned user.

Select which user you would like to assign to the contact.

Assigning User by Action Plan

This allows you to automate assigning users with your Action Plans.

You would want to use this option if a specific Action Plan meant that the contact needed to be working with a certain user. This is common with early-stage lead follow-up prior to being contacted by an estimator or a sales executive.

To accomplish this:

  1. Go to Action Plans
  2. Open the Action Plan you desire to assign to a specific user
  3. If you want the user to be assigned before actions fire off, create a new “Immediate” action type and assign it to the first step.
  4. In the “Action Type” drop down menu select Assign User
  5. Underneath timing, the drop down menu “Select User” will appear. Use this to specify which user you would like to assign
  6. Click “Save Action” at the bottom of the window

Assigning User by Sales Cycle

This feature allows you to automate assigning users to your Sales Cycles.

You would want to use this option if a specific user in your organization should manage lead and contact relationships within specific Sales Cycles. This is common when CSR teams engage leads at a certain point and then hand off the relationship to other teams after appointments are scheduled. Also, some organizations wish to assign certain users to manage client relationships after service has been provided.

To accomplish this:

  1. Go to Sales Cycles in Settings
  2. Select the Sales Cycle in which you would like to Assign a User
  3. Select the “Assign User” drop down Menu and select which user you would like to assign
  4. Save Sales Cycle

Seeing Contact’s Assigned User

There are two places you can see if a Contact has an Assigned User.

  • The Contact Profile
    • Top left Corner
  • The Contact List
    • Assigned User Column*

* Note: You need to have selected the “Assigned User” option to appear in the column header within the Contact Page Settings.

Directing Communication to Assigned User

Overview

You have an assigned user. How do you designate what communication goes to the assigned user?

The communication types that can be directed to the Assigned User are:

Please note that for calls and texts you will see the phrase “Divert… When Possible”. That indicates that they system will divert the calls and texts to the user as long as the user has a valid phone/cell phone number provided within their User account.

Action Plan Calls

To send all action plan calls to the Assigned User do the following:

  1. Go to settings
  2. Select the “ActionPlans” tab in settings
  3. In “Action Call Options”(top-left menu), select default.
  4. Under default, make sure “Divert to Assigned User When Possible” is checked.
  5. Click “Save Action Call Options”

Action Plan Emails

To send all action plan emails from the Assigned User do the following:

  1. Go to settings
  2. Select the “ActionPlans” tab in settings
  3. In ” System Emails to/from Users “(top-right menu), check “Send from Assigned User”.
  4. Click “Save Email Settings”

Incoming Calls

To send all incoming calls to an Assigned User do the following:

  1. Go to settings
  2. Select the “ActionPlans” tab in settings
  3. In “ClientTether Phone Return”(bottom-left menu), select default.
  4. Under default, make sure “Divert to Assigned User When Possible” is checked.
  5. Click “Save Return Settings”

Incoming Texts

To send all incoming texts to the Assigned User do the following:

  1. Go to settings
  2. Select the “ActionPlans” tab in settings
  3. In “ClientTether Text Return”(bottom-Right menu), check “Divert Returned Texts to Assigned User’s Phone When Possible” is checked.
  4. Click “Save Number”
