1The four ways email goes out
Every email ClientTether sends is stored on the contact’s history, with open counts. There are four ways to send one:
| Way | When to use it |
|---|---|
| From an action plan | Automatic follow-up — an email step fires on the plan’s schedule. See Action Plans. |
| From a template | A message you send often, picked from the list and personalised with tokens. See Templates. |
| One-off, from the profile | The Email panel on the contact’s profile. |
| Group email | Select contacts in the Contacts List and email them all at once. |
2The email panel
On a contact’s profile the Email tab gives you:
- Choose a template to prefill subject and body, then edit freely.
- Subject and a rich-text body — both accept tokens, so
{{client.firstName}}becomes the contact’s name at send time. Personalising the subject line is the cheapest way to lift open rates. - Additional Email Options — extra recipients (comma separated), BCC, and Exclude Client when the message should go to someone else about this contact rather than to the contact.
- Attachment — pick from the contact’s own files or from account files.
- Schedule Send — send later instead of now.
Consumer email addresses need their own connection
If your user’s email is Gmail, Yahoo, Outlook.com or similar, ClientTether won’t send until you connect that mailbox — see Connecting Your Email (SMTP & IMAP). Company domains are unaffected.
3Replies, bounces and unsubscribes
With IMAP connected, replies come back into the contact’s history. Returned mail shows there too, and can be answered from the history entry with the original quoted underneath. Every email carries an unsubscribe link, as CAN-SPAM requires — see Unsubscribes & Opt-Outs.
4Rules of the road
In the United States, follow TCPA and CAN-SPAM; in Canada, CASL. Everyone using ClientTether is also bound by its Acceptable Use Policy. Practically: mail people who asked to hear from you, make the unsubscribe work, and keep your office phone number current in Account Info — it’s what goes in the compliance footer.
5Troubleshooting
The email went to spam
Connect your own mailbox, and have an Enterprise owner register your sending domain (Settings → Email Domain Registration).
The attachment didn’t arrive
Providers block certain file types and sizes. Upload the file to Files and link to it instead.
Open counts look too high
Some mail clients pre-load images, which registers as an open. Treat the number as a trend, not a fact.
