We are making an important update to how ClientTether handles email sending for users whose email address is hosted on a consumer email provider, such as Gmail, Yahoo, Outlook/Hotmail, AOL, and similar services.

Email providers have continued to strengthen their requirements around sender authentication and email reputation. To help protect the deliverability of emails sent through ClientTether—and reduce the likelihood of messages being rejected, bounced, or sent to spam—we are updating ClientTether to require users with consumer email addresses to send through their own authenticated email connection.

What is changing? Why did I get this warning?

If your ClientTether user email address uses a consumer email domain and you do not currently have a working SMTP/email connection configured, you may see a message, “You must configure SMTP before sending an email because you have a Consumer Email Domain.”

You may see this warning when attempting to send email, send group email, or in other areas where ClientTether needs to send email on behalf of that user. This warning is intentional and is designed to prevent email from being sent through an unauthenticated or inappropriate sending path.

What do I need to do?

If you see this message, connect your email account to ClientTether through your SMTP/Email settings.

Go to:

Settings → Email (SMTP & IMAP)

Then select the appropriate email provider from the options in the drop-down list at “Predefined Settings” and complete the connection process.

For Microsoft/Outlook accounts, this may include connecting through Microsoft OAuth. Other email providers may require their SMTP settings or other authentication information.

Once your email connection has been successfully configured and verified, ClientTether will allow email to be sent normally from that user again.

Why are we making this change?

Major email providers are placing greater emphasis on authenticated sending and sender reputation. Allowing an email address such as a Gmail or Yahoo address to send through unrelated shared email infrastructure can negatively affect deliverability and may cause messages to be rejected, bounced, or filtered as spam. This update helps ensure that email sent from ClientTether is transmitted through an authenticated sending method associated with the actual sender.

Will everyone see this warning?

No. This primarily affects ClientTether users who:

  • Use a consumer email address such as Gmail, Yahoo, Outlook/Hotmail, AOL, or another public email provider, and
  • Do not currently have a valid, verified email connection configured in ClientTether.

Users with properly configured email connections should continue sending normally.

If you see the SMTP warning after this update, it does not mean ClientTether email is down. It means ClientTether needs your email account to be connected and authenticated before allowing email to be sent from that address.

Primary workflow Enable the add-on in ClientTether, connect the matching ServiceTitan app, paste values into ClientTether, save, and test before moving to the next account.

1. What the ServiceTitan add-on does

The ServiceTitan premium add-on enables ClientTether accounts to share contact, opportunity, and job information with ServiceTitan. It is a standalone add-on and is intended to be configured per location/account when a customer needs the ClientTether-to-ServiceTitan workflow.

  • ClientTether can push Customer, Location, and Job records to ServiceTitan.
  • Users can send data manually from the Contact Profile, and admins can include ServiceTitan send actions in Action Plans when the add-on is available.
  • After a successful push, ClientTether stores ServiceTitan record IDs and the manual send control should no longer allow duplicate manual sends for that record.
  • The add-on is separate from existing Dispatch and ServiceBridge integrations.

2. Roles, prerequisites, and access

  • ClientTether: The add-on and ServiceTitan settings tab are intended for Level 3+ users/admins. CSM/SAM team members should impersonate or log into the correct account/location using approved internal procedures.
  • ServiceTitan: You need access to the customer/location-specific ServiceTitan tenant and the ability to open Settings > Integrations > API Application Access and connect the ClientTether app.
  • Use one browser tab for ClientTether and one browser tab for ServiceTitan so you can copy values directly without storing them elsewhere.
  • Confirm which account/location you are configuring before copying values. Most values differ by location.
Security requirement: Do not place live ST Client Secrets, Client IDs, tenant values, business unit values, or app keys in enablement docs, tickets, Slack, email, or screenshots. Use placeholders such as xxxxxxxx-xxxx-xxxx-xxxx-xxxxxxxxxxxx or masked values such as ********.

Phase A — Enable the ServiceTitan Integration add-on

  1. In ClientTether, open the top menu and go to Accounts.
  2. Select the target location/account and click Login. Confirm you are in the correct location before continuing.
  3. Open the user menu in the top navigation: Hello [Name] > Settings.
  4. Scroll to Add-Ons, open the Premium tab, and click ServiceTitan Integration.
  5. After activation, confirm ServiceTitan appears as a settings section/tab in the settings navigation.
  6. Do not move on until the ServiceTitan settings section is visible for the account/location you are configuring.

Phase B — Bridge ServiceTitan and ClientTether

  1. In ClientTether, stay inside the same location/account and open Settings > ServiceTitan.
  2. In a second browser tab, open the matching ServiceTitan tenant/location.
  3. In ServiceTitan, click the gear icon, open Integrations, then API Application Access.
  4. Connect a new app and select ClientTether. Open the ClientTether integration details once the app is connected.
  5. Copy the ServiceTitan application values into the corresponding ClientTether ServiceTitan settings fields. Use direct copy/paste only; do not store the values in notes or screenshots.
  6. Click Save in ClientTether.
  7. Validate before configuring the next location. A successful test should result in the expected contact/customer/job information appearing in ServiceTitan and the ClientTether record retaining the returned ServiceTitan IDs.

    • Although constants are defined at the enterprise level, their values can be updated at the subaccount level to represent local conditions (e.g., regional labor rates). This feature provides flexibility, allowing subaccounts to adjust the constant values without altering the template structure or logic.

Enabling the Feature

  1. Access Tax/Display Tab in Proposal Settings:
    • Navigate to the Display section under Tax Settings.
  2. Carry Proposal Dates to Work Order:
    • Locate the option Carry proposal start and end dates to work order and check the box to enable this feature.
    • Once enabled, the Job Start Date and Job End Date from the proposal will automatically populate the corresponding fields in the work order.

  1. Proposal Overview:
    • The proposal includes key dates for the project, such as:
      • Job Start Date
      • Materials Delivery Date
      • Job End Date

In this feature, you can create or edit triggers based on specific tags. This enables automatic actions such as sending emails, text messages, or initiating action plans when certain tag conditions are met.

Creating a Tag-Based Trigger

  1. Trigger Conditions (IF Section)
    • The If condition defines when the trigger should fire.
    • In the example provided:
      • Custom Lead Form is the primary condition.
      • You can add additional conditions by clicking the + button or remove conditions using the button.
  2. Using Tags in the Trigger
    • In the Tags dropdown, you can select one or more tags to serve as conditions for the trigger.
    • You can define whether the tags should be IN or NOT IN a contact’s profile using the operator dropdown.
    • The tags in the dropdown list represent different types of tags that have been applied to contacts. In this example, tags like Backsplash, Carpet, and Google Local Service Ads can be selected.

Trigger Action (Then Section)

  • Then Initiate:
    • After the trigger conditions are met, you can choose one of the following actions to initiate:
      • AP (Action Plan): Automatically assign a contact to an action plan.
      • Text: Send a text message.
      • Email: Send an email to the contact.
    Select the desired action, then click Save to create or update the trigger.

The Tags feature in Action Steps allows you to automatically apply or remove tags to/from contacts as part of an action plan. Tags are useful for categorizing contacts and triggering other automated actions based on their assigned tags.

Configuring the Tag Action

  1. Action Type:
    • Select Tag from the dropdown menu to configure tag-related actions. This is essential for adding or removing tags from contacts.
  2. Action Name:
    • Provide a descriptive Action Name. This name should help identify the purpose of the tag action (e.g., “Apply New Lead Tag”).
  3. Add Notifications:
    • Check this box if you would like notifications to be sent when this action occurs. This can be useful for tracking tag changes.

Timing of the Tag Action

  • Immediate:
    • Choose this option if you want the tags to be added or removed immediately when the action is triggered.
  • Delayed:
    • If the tag should be applied or removed at a later time, select Delayed and configure the delay settings accordingly (this option will become configurable once selected).

Adding and Removing Tags

  • Add Tags:
    • In the Add Tags field, select the tags you wish to assign to the contact. This allows you to classify contacts automatically when this action is executed.
    • This is a multi-selection field, so you can choose multiple tags from the dropdown.
  • Remove Tags:
    • Use the Remove Tags field to select tags that should be removed from the contact. This helps keep the contact’s tags updated, removing outdated or irrelevant ones.
    • Like the Add Tags field, this also supports multi-selection.

Finalizing the Tag Action
